Organization Guidelines & Policy
Read carefully before creating your organization. These policies govern all users on Classgrid.
Who May Create an Organization?
An organization may only be created by a verified representative of an academic institution — such as a coaching institute owner, academic administrator, verified faculty head, or authorized institutional representative. Students must not create organizations. Organizations represent institutes, not individuals. By creating one, you confirm you have authority to represent the institute.
Organization Code & Faculty Authorization
Each organization is assigned a unique Organization Code that links faculty accounts to the correct institute, prevents cross-organization misuse, and secures institutional identity. Only the organization admin may distribute this code. Faculty must use the official code during registration. Unauthorized usage may result in suspension. Faculty cannot create duplicate organizations using the same institute name.
Faculty Account Rules
On the Free Plan, up to 5 faculty accounts with 2 classrooms each are allowed. On the Pro Plan, up to 10 faculty accounts with 5 classrooms each. Faculty accounts are created and managed by the organization admin, bound to the organization identity, and restricted to their assigned classrooms. Faculty cannot access other organizations' data. All limits are enforced at the API level — exceeding them will require a plan upgrade.
Student Access Rules
Students may join classrooms only through authorized methods: a Classroom Join Code shared by faculty, or the admin approval system. Students cannot access other organizations' classrooms, view cross-institute content, or bypass approval systems. Each classroom is fully isolated per organization.
Classroom Structure
In Classgrid, one classroom equals one subject. Each classroom maintains separate announcements, notes and materials, chat, and attendance records (Pro feature). All classroom data is isolated and organization-specific.
Plan Structure & Feature Access
Classgrid operates on tier-based plans. The Free Plan includes the classroom system, announcements, notes upload, chat, AI academic assistant, up to 60 students per classroom, and up to 5 faculty accounts. It does not include Smart Attendance, advanced analytics, or automated reports. The Pro Plan includes everything in Free plus increased limits, Smart Attendance, attendance reports, monthly summaries, advanced insights, and priority access.
Smart Attendance Policy (Pro)
Faculty starts a timed attendance session that remains active for 4 minutes. Students must enter the session code personally. One mark per student per session. The session automatically expires and attendance is logged server-side — it cannot be edited by students. Sharing attendance codes publicly is strictly prohibited. Tampering or impersonation may result in disciplinary action.
Student Honor Code
The Honor Code is a unique organization code that students use to join their institution on Classgrid. Students can join by entering either an Honor Code (links you to your organization) or a Classroom Code (automatically links you to both the classroom and the organization). Once linked to an organization, you cannot join a different one. Students agree to use only the code provided by their institution, avoid sharing codes with unauthorized users, and not attempt to join organizations they do not belong to. Misuse may result in account suspension or removal.
AI Usage Policy
AI assistance is provided for academic support only. Responses are generated using external AI providers and are not a replacement for faculty instruction. Excessive misuse may result in temporary rate limiting or restrictions.
Content & Data Responsibility
Organization admins are responsible for notes uploaded by faculty, announcements and classroom materials, student moderation, and academic conduct. Classgrid does not claim ownership of academic content. Uploaded materials remain the property of the organization.
Subscription & Plan Activation
Paid plan activation occurs instantly via Razorpay Checkout. If payment fails or is interrupted during processing, the activation is aborted and any deducted amount will be refunded according to standard Razorpay policies. Organizations must ensure accurate billing details when submitting upgrade requests. Fraudulent or disputed payments may result in suspension.
Monitoring & Security
All sessions are JWT secured with HTTP-only cookies. Passwords are bcrypt hashed and never stored in plain text. Login activity may trigger security notification emails. Role-based access control prevents unauthorized access to any part of the platform.
Prohibited Use
Organizations must not upload illegal, offensive, or copyrighted content without permission; impersonate other institutes or create misleading organization names; share classroom join codes publicly outside the institute; or use the platform for non-academic purposes.
Platform Scope
Classgrid currently supports organization-based classroom structure, faculty and student dashboards, real-time classroom chat, notes and material sharing, Smart Attendance (Pro), and an AI academic assistant. Advanced analytics and billing automation may be introduced in future updates. The platform is in active development.
